NOTICE TO THE MEMBERSHIP

Nominating Committee Duties and Process for election of 2027 officers

On December 15, 2026, the membership of the Butler County Arts Guild will elect officers for the Butler County Arts Guild for the 2027 year during a meeting to be held at the Gallery (115 Ohio St. Morgantown KY 42261).  Offices to be filled by election are: President, Vice-President, Secretary and Treasurer. Persons elected will begin serving in January 1,  2027.  Other positions are appointed by the  president and affirmed by the elected officers.

The nominating committee is charged with preparing a ballot with the names of nominees for each elected office. Current officers will be polled to see if they would like their names to be considered for an elected position.  The Nominating committee is not required to include every name submitted to them on the ballot.  Part of their job is screening nominees.  People whose names are included on the ballot must be determined by the nominating committee to be:

·        members in good standing,

·        without conflicts of interest,

·        who have the skills needed to fulfill the duties of the office for which they are being nominated,

·        who desire to see the mission of the  BCAG advanced, and

·        who have agreed to serve if elected.

·        Nominating committee members are not eligible to run for an elected position.

If you would like to serve in one of these positions or would like to suggest a name to be included on this ballot, please let the nominating committee know by November 17, 2026 so a slate of candidates can be prepared in time for the November membership meeting.  The nominating committee consists of:

·        Ruth Morgan, Committee Chair (rmorgan6891@gmail.com, text to: 270 780-6891)

·        Gail Smrtic (text to: 918 269-7940),

·        Scott Elmore (Scottelmore816@gmail.com)

There will be an opportunity for members in good standing who are present at the December 15th meeting when elections take place to nominate additional people. Those nominated from the floor must be present on December15, 2026 or have furnished a written statement indicating that they are willing to serve if elected.  The Nominating committee will not have had an opportunity to screen those people so the member who is nominating them must be prepared to address how they meet the criteria above as they submit the name from the floor.

The Nominating committee’s prepared ballot will be distributed at the November 2026 membership meeting.  Once the committee’s ballot is finalized no additional names will be added. Any other names will have to be raised from the floor on election night and voted for as a write in vote. The nominating committee’s ballot will be posted on the guild web site https://www.butlerarts.org.  Elections will take place December 15, 2026.

IMPORTANT NOTE:  Currently elected officers are serving as both officers of the Butler County Arts Guild Membership and as members of The Guilds Governing Board of Directors.  Changes to the By-laws are being considered which would separate those functions, making a distinction between the elected officers of the membership who carry out the day-to-day operation of the Guild and the members of the Governing Board of Directors responsible legal and financial oversight of the organization and for assuring the organization is on mission.  It is envisioned that the President, Treasurer, and Secretary elected by the membership would serve on the Governing Board of Directors by virtue of their elected position along with other persons appointed by the President of the Guild and affirmed by the elected officers.  The officers of the Governing Board, however, would be chosen by those serving on that board. (This is how  the organization is currently operating and changes are being considered to reflect such in the by-laws.)
